Questions people ask

The same answers Saathi, the assistant on every page, gives. Ask it anything else.

What is SpeakUpSafe?

A speak-up platform. Someone at work raises a concern, with or without their name, in their own language. Their company's case team picks it up and handles it within Indian and EU law. There are four parts: the employee portal where people report, the case team portal where cases are worked, company admin, and the SpeakUpSafe console that only ever sees counts.

Who is it for?

Companies that answer to the Companies Act, SEBI, the POSH Act, the DPDP Act or the EU Whistleblowing Directive. In practice that means listed companies, groups with plants and offices, and any firm with more than 10 people, which is where the POSH committee rules begin. The showcase company is a textile group with five sites, but a 40-person firm sets it up the same afternoon.

Do I need an account to report?

Not if your company has switched on reporting without an account: then anyone with its link or QR code can report, and a kiosk tablet works the same way. Signing in is for employees who want all their reports in one place, and for the case team. There are no passwords anyway: sign-in is a 6-digit code sent to your work email.

Who sees my name?

If you report anonymously, nobody. Your name, account, IP address and device are not stored with the report. The case team sees a pseudonym like R-7KQ2. If you choose confidential instead, your name is sealed. Opening it needs two people on the case team to agree, with a written reason, and you are told when that happens.

How do I check my report?

If you reported without an account, open Check a report and enter the reference and access code you saved, and your PIN if you set one. Replies and questions from the case team are there. If you signed in, everything is under My reports. Nobody can look a report up by name, because anonymous reports are not linked to anyone.

Can I speak instead of typing?

Yes. Choose Talk instead of typing. Your browser turns speech into text, on your device where it can; if it can't, it asks before using the browser's online speech service. You see the words and can correct them before you send. You can keep a recording, with your voice changed, or send the text only. A recording is encrypted, only the case team can play it, and every play is logged.

What does changing my voice do?

It moves the pitch of the recording up or down on your device, by an amount chosen at random that wanders a little as you speak, before it is uploaded, so the case team hears a changed voice and the original is never sent. Nothing about the change is kept. It does not change what you say, your accent, names you mention or the sounds around you, so treat it as one layer of protection, not a guarantee. If you prefer, send the text only and keep no recording at all.

Which languages are supported?

English, Hindi, Marathi, Tamil, Gujarati and Arabic, which reads right to left. The switcher is at the top of every page and what you have typed stays put when you change. When your browser can translate on the device, the case team also gets an English version next to your words; either way they can always see the original.

How long until I hear back?

Within 7 days for an acknowledgement and within 3 months for feedback on what was done. Those clocks come from the EU Whistleblowing Directive and run inside the product, with reminders to the case team before they run out. POSH complaints follow the Act's 90-day inquiry. You can reply or add details at any time.

Can I get in trouble for reporting?

Not for reporting in good faith, even if it turns out you were wrong. Company policy and the law both protect you, and retaliation against someone who reports is a breach in itself. After a case closes the portal checks in with you to catch retaliation early, and you can report it as its own case.

Can I add files?

Yes: photos, PDFs, Word files, audio or video, up to 10 files of 25 MB each, with or without an account. Hidden details like author names and the place a video was filmed are removed from photos, PDFs, Word files, audio and videos.

How does the QR code work?

Every company has its own reporting address and a poster for notice boards. Scan it and you land on that company's page, with its name and logo, where you can sign in to report, report without an account if the company allows it, or open a report you already sent.

Which laws does it follow?

India: Companies Act 2013 s.177, SEBI LODR Reg 22, the POSH Act 2013 and the DPDP Act 2023. EU: Whistleblowing Directive 2019/1937 and the GDPR. The deadlines, committees and annual reports each one asks for are built in. The product follows the law; it does not give legal advice.

How secure is it?

Each company's reports are encrypted with its own AES-256 key. SpeakUpSafe's own console reads through a database role that can only return counts, so our staff cannot read a report even if they wanted to. Every action goes into a hash-chained log, so a changed record shows up. All of this is covered by automated security tests, and the Trust centre lists them.

Where is our data kept?

In India, in the Mumbai region, encrypted with your company's own key. Files are kept in private storage that only the case team can open, and every download is logged. Notification emails go through an email service and never carry report content.

Does it integrate with our systems?

Single sign-on through OpenID Connect: Microsoft, Google, or a provider such as Okta. SCIM so joiners and leavers stay in sync. Signed webhooks when a case opens or closes, a check-in raises a concern, or a declaration comes in. A read-only reporting API with case facts, never report text, names or files, for Power BI or similar. A spreadsheet of the case list, facts only.

How long does setup take?

An afternoon. Company settings opens with a checklist: logo and colour, who may sign in, categories and forms, the speak-up policy, roles, lifecycles. Tick the last item and press Go live. Single sign-on (Microsoft, Google, or another OpenID Connect provider such as Okta) is optional and comes later if your IT team wants it.

Is there a mobile app?

No download. The portal works in the phone's browser, and you can add it to the home screen so it opens like an app. People without a smartphone can use a kiosk tablet at the gate, where the company has set one up.

What does it cost?

Nothing during early access. Three plans are planned: Free, Professional and Enterprise. Anonymous reporting, accessibility and the essential security controls are never limited by plan. Professional pricing is still being finalised.

How do I book a demo?

Use the contact page and tell us a little about your company; we set the demo up around it. If you are an employee with a concern, use your own company's reporting page instead, not the contact form.
