1. Get ready to go live
- Company settings opens the setup checklist. Work through it: branding, employee access, categories, staff, compliance.
- Add your logo and colour under Branding; colours that would be hard to read are refused.
- Press Go live when the checklist is done. Employees can't sign in before that.
2. Let employees in
- Add your email domains under Employee access and verify them with the code we email. Anyone on a verified domain can sign in.
- Invite others with a CSV, or connect your identity provider with SCIM (Integrations).
- Set up single sign-on with Microsoft, Google or Okta: enter the directory or issuer, client ID and secret, and give IT the redirect address shown.
3. Staff and roles
- Staff and roles: invite staff and give them roles. Roles can be limited to categories and locations.
- Duplicate a role to make your own; the portal stops you removing the last person who can manage settings.
4. Categories, forms and process
- Categories and forms: add questions per category, with conditions; publish when ready.
- Lifecycles: set the stages, target days and checklists, and the approval matrix for who must approve closing by risk.
- Automation: build rules as sentences (When a report arrives, If it's high risk, Then tell the Compliance head), test them, then switch them on. The workflow map shows everything together.
5. Compliance and retention
- Compliance: switch on the profiles that apply (Indian law is always on; POSH and EU as needed).
- Set how long closed cases are kept, and different periods for some categories.
- Switch on reporting without an account, check-ins, declarations, and server AI if you want them. The AI register shows what each AI help sends and how often it's used.
- Download the evidence pack for auditors.
6. Reach everyone
- Kiosks and posters: set up a kiosk link for a shared tablet (shown once), and print QR posters in each language.
- Internal Committee: add the Presiding Officer, members and external member with their terms; the page tells you if the Act's rules aren't met.
7. Integrations
- Webhooks send content-free events to your systems, signed so you can check them.
- Reporting API keys give Power BI or your warehouse read-only case details, never content.
- Company groups (set up by SpeakUpSafe) let a parent see counts from subsidiaries that choose to share.
8. Privacy and audit
- Data requests: export or erase an employee's data under the DPDP Act.
- Support access: approve or decline SpeakUpSafe support sessions; they're time-limited and logged.
- Audit log: every action, with a hash chain you can check and export.
